Indian passport renewal in Australia: the 2026 process, fees and checks

Indian citizens renewing passports face a new service fee, revised photographs and different processing estimates, making the correct checklist and mission selection essential.

Indian passport renewal in Australia now carries a mandatory A$115 application-centre service charge, separate from government fees, under the consular service arrangements operating in 2026.

There is another change applicants may miss if they reuse an old checklist: the current adult application requires two recent 35 × 45 mm photographs. A folder prepared from earlier instructions can therefore be wrong before the appointment begins.

The process still starts with an online government application. Submission then goes through the appropriate Indian Consular Application Centre, either at a booked appointment or by post. Choosing the correct mission, checking documents and allowing time for verification matter more than simply securing an appointment.

This guide follows an ordinary adult reissue from preparation to receipt. Requirements were checked on 8 October 2026; children, lost passports and changes to personal particulars have additional or different requirements.

When should you start Indian passport renewal in Australia?

Start within the year before your passport expires, rather than waiting for a booked trip to force the timetable. VFS Global’s current adult-service guidance permits applications up to one year before expiry and encourages early submission.

A passport that remains valid today can still create a problem for a later journey. The destination and airline may have their own validity requirements. Read those requirements against your planned return date, and leave room for the passport to be held during processing.

Write down three dates before completing the form: passport expiry, intended departure and any Australian immigration deadline. They serve different purposes. A passport renewal does not itself extend an Australian visa, and an appointment receipt is not a replacement travel document.

If your passport has already expired, use the checklist’s expired-passport provisions. Do not conceal the expiry or treat the ordinary renewal folder as sufficient. The current checklist includes an additional Form I requirement where expiry exceeds one month before lodgement.

Is renewal the same as reissue, and who can apply?

An existing Indian passport is normally replaced through a reissue application, with the appropriate reason selected on the government form. “Renewal” is the everyday description; the reason you choose must reflect the actual circumstances.

What is a passport reissue?

A reissue replaces an existing passport with a new document, for example because validity is ending or particulars need to change. The reason selected determines which supporting evidence the application needs.

This guide concerns Indian citizens in Australia. Australian residence and Australian citizenship are different categories, so do not assume that having lived in Australia for years changes the passport procedure. If your citizenship has changed, check the Indian passport surrender service before proceeding with an Indian passport application.

For a child, select the minor renewal service rather than the adult checklist. A first passport for a child is a separate service again. These distinctions affect consent and supporting records, so prepare each family member’s folder independently.

Which mission and application centre should you choose?

Choose the mission that serves your current Australian residential state or territory. The application centre’s city does not always share the mission’s name, which makes this an easy error to carry into the online form.

The current VFS jurisdiction directory assigns New South Wales and South Australia to the Sydney mission, although South Australian applications use the Adelaide centre. Victoria and Tasmania come under Melbourne. Queensland uses Brisbane, Western Australia and the Northern Territory use Perth, and the ACT uses Canberra.

Western Australia or Northern TerritoryPerthPerth

Check the directory before creating the government application, particularly after an interstate move. VFS says an incorrect mission selection requires a new application. Booking a convenient centre first can therefore cost you a second form rather than save time.

Use the centre directory for current addresses and opening arrangements. Services resumed through six centres after the July interruption; an old confirmation email or a saved map location is a poor substitute for the current listing.

How do you complete the government application?

Complete the application through the Passport Seva portal for overseas applicants, using the mission appropriate to your residence. The application-centre appointment comes after this government form, not instead of it.

Keep the passport beside you when entering existing particulars, and keep the supporting document beside you for any requested change. Check names, dates and addresses against those records before moving to the next part of the form.

The July 2026 adult checklist requires clear uploads, an A4 printout and a signed declaration. It also says not to make handwritten corrections on the printed application: errors require a new online application using the same login.

Save the application reference and a copy of the completed form in your own records. The government reference and an appointment reference are different identifiers. Naming both clearly now makes later tracking easier.

Before submission, compare the completed form with the checklist rather than checking only that every online field contains something. A filled field can still be incorrect, and a successful upload does not establish that the document meets a consular requirement.

What belongs in an adult renewal folder?

Use the current adult passport checklist, dated 1 July 2026, as the document list. It covers the original passport, Australian visa evidence, address proof, photographs and the Personal Particular Form, as well as circumstances requiring extra evidence.

Pay attention to the distinction between ordinary renewal and a change application. A changed signature, appearance, address or name can require additional declarations or documents. Someone replacing a lost passport should follow the lost-passport provisions, not simply omit the original from a standard folder.

The checklist also distinguishes attestation arrangements in NSW from other states. Read that instruction before obtaining certification, and ask the responsible mission or VFS about any uncertainty. A document being certified somewhere does not necessarily mean it meets the particular instruction applicable to your residence.

Prepare a separate final review for originals, copies, signatures and conditional documents. Keep a personal scan of what you submit. That provides a reference if additional information is requested, without relying on memory about which version went into the envelope.

What photographs are accepted now?

The current VFS adult-service photo instructions specify 35 × 45 mm photographs with a plain white background and a clear, front-facing view. The checklist requires two colour photographs taken within the previous six months.

Show the photographer the current passport service specifications, rather than asking only for an “Indian passport photo”. The site gives further requirements for head height, expression and image quality, and applies the standards to digital uploads as well as printed photographs.

Check the print dimensions with a ruler when collecting the photographs. Also inspect the digital version at normal size for sharpness, shadows and glare. VFS says filters and digital enhancements are not permitted; improving a portrait for social media is different from preparing an identity photograph.

How much does renewal cost, and how do you pay?

The mandatory ICAC service charge is A$115, while government passport fees and levies are additional. The adult-service page directs applicants to a fee calculator for the government amount applicable to their service.

For an appointment, the service fee is paid online at booking and government charges are paid at submission through the accepted methods. Centres are cashless. The service page lists EFTPOS for in-person payments, Australian-issued Visa or Mastercard, and money or postal orders payable to VFS Services Australia Pty Ltd.

Treat the calculator’s result as a service-specific quote. Do not use one person’s total for another application with a different passport type or replacement reason. Save the booking receipt and government payment record separately so that any later query identifies the correct charge.

VFS lists photographs, photocopying, document handling and certain support and courier services within the service fee. Confirm how the included service operates for your submission method before paying separately elsewhere for something you expected the centre to supply.

Can you submit by post instead of attending?

Yes, the current postal application instructions allow passport applications by post or courier to the centre serving the relevant jurisdiction. Complete the government application and document preparation first.

Postal payment arrangements differ from paying at a counter. Follow the posted instructions for both the government charge and the ICAC fee, and use the current postal address for the centre. Record the courier or postal tracking number alongside your application reference.

An envelope being delivered is not the same as an application being accepted for processing. Retain delivery evidence, but allow time for intake and checking before treating a missing application-tracking result as a failure.

For in-person submission, the current checklist requires an appointment and says walk-ins are not accepted. Bring the appointment letter and a complete folder. The benefit of an appointment is the submission opportunity; it does not remove the mission’s ability to request further documents.

How long does processing take, and how do you track it?

VFS gives different estimates depending on the previous issuing mission and whether the passport is lost or damaged. These are estimates from acceptance of a complete application, rather than promises from the day you fill in the form.

CircumstanceCurrent VFS estimate
Previous passport issued in Australia by the same mission receiving the new applicationApproximately four weeks
Previous passport issued outside Australia, or application made to a different missionApproximately eight weeks
Lost or damaged passportApproximately eight weeks; additional verification can extend this to four months

Postage and courier transit are additional. Incomplete files and further verification can extend the timetable, which is why VFS advises against making travel arrangements before receiving the passport.

The official tracking page distinguishes VFS applications submitted on or before 3 September 2026 from those submitted on or after 4 September. Use the matching tracking link and enter details exactly as recorded.

Passport Seva tracking uses the 12-digit application reference number and date of birth. VFS says postal applications can take six to seven working days to appear in its system. Check intake timing and reference details before escalating an “invalid input” message.

What should you check after receiving the passport?

Check the new document’s particulars and update the Australian immigration record before using it for travel. The Department of Home Affairs says the quickest method is to update passport details in ImmiAccount.

Compare the new passport with the application copy, then follow the Home Affairs instructions for your circumstances. Keep any confirmation of the update, and check the visa record again before departure. If travel is imminent or an update cannot be made online, use the department’s listed contact route.

For related preparation, read the current Australian student family rules if they affect your household, and the visa coverage hub for other immigration changes.

Where should applicants recheck the next step?

Recheck Passport Seva, the responsible Indian mission and VFS Global immediately before lodging, then Home Affairs before travelling on the replacement passport. This guide explains the process checked on 8 October 2026; the service-specific checklist remains the document to use for the application itself.

The next step is to identify your jurisdiction, download the matching checklist and prepare the government form. If a citizenship change, disputed personal record or urgent journey complicates that sequence, obtain the responsible authority’s instructions before committing to a submission or travel date.
